The best work you do with a client often happens between the calls. A quick voice note, a resource sent at the right moment, a task that keeps them moving. Kajabi Backstage gives every one-to-one client a private space for exactly that, right inside your Kajabi site.
Backstage is one of the newest products in Kajabi, so I've been setting it up and testing it on my own account. The place it fits best in my business is a Simplify Day, my one-to-one strategy day with a client. A Simplify Day has a clear before, during and after: pre-work to get ready, the day itself, then a written 90-day plan to put into action. Right now that follow-through lives across email threads and shared documents. Backstage puts all of it in one private place for each client, which is exactly the kind of simplifying I teach.
This guide explains what Backstage is, what your clients see, how it differs from Kajabi Coaching, what it costs and how to set it up. You'll also see how I'd use it for a Simplify Day, step by step.
The short answer
Kajabi Backstage is a private, personalised space for each one-to-one client, with tasks, resources, messaging, voice notes and recorded live sessions in one dashboard. It's included on every Kajabi plan, which start at $179 a month, and each active client uses one seat, with extra seats at $49 a month. Kajabi's Help Center still labels it beta, so pricing may change. The standard Kajabi trial is 14 days, and through my partner link you get 30 days.

What is Kajabi Backstage?
Backstage is a private, one-to-one space you create for each client inside your Kajabi site. Every client gets their own home for the program, with their own tasks, resources, messages and progress.3 You see every active client from one dashboard, sorted by who needs your attention first.3
Kajabi built it for coaches, consultants, mentors and service providers who deliver premium, personal work.1 Kajabi launched it in June 2026, and it carries a "new" label in the Products menu.72 Clients reach it through your Kajabi site in any web browser, on a phone too.1
A client dashboard
Your welcome message, their current focus, tasks and progress in one view.3
Private messaging
Text, files and voice notes, with read indicators and notifications.3
Live sessions
Schedule, run and record calls, with transcripts and summaries saved.3
The AI inside Backstage has a narrow job. It transcribes voice notes and summarises recorded sessions, and it never replies to your clients as you.1 That's a line I'm very glad Kajabi drew.
What can your clients do in Backstage?
Your client logs in to a personalised dashboard that shows them exactly what to do next. Here's what they can do there, in plain English.3
Complete tasks
Tick off the tasks you set, each with an optional due date.3
Open resources
Lessons, whole modules, downloads, files and links you've assigned.3
Send voice notes
Voice notes come with playback speed controls and a transcript.3
Book sessions
Book, move or cancel calls based on your live availability.4
Rewatch calls
Watch past recordings and download the transcript and summary.3
Track progress
See how far through the program they are at a glance.3
One detail I love is that you can assign a lesson from any of your courses, even one the client hasn't bought.3 So the training you've already made becomes part of each client's personal path, without building anything new.

Scheduling sits inside Backstage too, so clients don't need a separate booking tool. You can connect a Google, Outlook, Office 365 or Apple calendar to keep your availability in sync, and turn on email reminders for you and your client.4
How is Backstage different from Kajabi Coaching?
Kajabi has two products for working with clients, and they suit different kinds of program. Coaching is built around scheduled live sessions, for one person or a group. Backstage is built for the ongoing one-to-one work that happens between those sessions.3
| What you need | Kajabi Backstage | Kajabi Coaching |
|---|---|---|
| Who it's for | One-to-one clients only | One-to-one or groups |
| Messaging and voice notes | Included | Not included |
| Tasks for each client | Included | Not included |
| Live sessions | Built in, with its own scheduling | Built around a connected scheduler |
| Cost | Per active client seat | Included with your plan |

Choose Coaching when your program is mainly the calls. Choose Backstage when the value lives in the follow-through, the messages, the tasks and the resources that keep a client moving week to week.
How would I use Backstage for a Simplify Day?
A Simplify Day is my one-to-one audit and strategy day, built in 4 parts: Diagnose and Define, Offer, Engine and Plan. The client leaves with a written 90-day action plan and a weekly rhythm to follow. Here's how that maps onto Backstage, as I've set it up to test.
- Before the day: welcome and pre-workThe client buys and lands in their own Backstage with a welcome message from me. Their first tasks are the pre-work for Diagnose and Define, with a due date before we meet.
- Before the day: the right resourcesInstead of attaching files to emails, I assign the lessons and downloads they need, including lessons from my existing courses.
- On the day: capture everythingAny virtual part of the day runs as a live session, recorded with a transcript and summary saved in their space.
- After the day: the 90-day planThe written plan goes into their Backstage, with the first actions set as tasks so the weekly rhythm starts straight away.
- The next 90 days: quick check-insShort voice notes and messages keep things moving between calls, and my dashboard shows me who needs a nudge.

My tip: keep each client's tasks to the next 3 things only. A long list in a private space feels like homework, while a short list feels like momentum.
How do you set up Kajabi Backstage?
Backstage attaches to an Offer, so your client gets their space the moment they buy. Kajabi's Backstage setup guide covers it in full, and here are the steps in short.3
- Open your OffersFrom your dashboard, go to Sales, then Pricing.3
- Choose or create the OfferOpen the Offer you want to use for your one-to-one program, or create a new one.3
- Add BackstageIn the Products in this Offer section, include Backstage. Kajabi shows how many seats you have left.3
- Set your availabilityAdd your bookable hours under Settings, then Site settings, then Scheduling, or set custom hours just for Backstage.4
- Preview, then savePreview the client view before you invite anyone, then save the Offer.3
When a client buys, they get your welcome message and one seat counts towards your allowance. The seat comes back when a client cancels, and for subscriptions that happens at the end of the billing cycle.3
How much does Kajabi Backstage cost?
Backstage is listed as included on all three plans on the Kajabi pricing page.2 Each client who buys a Backstage Offer uses one seat, and extra seats cost $49 a month each.3 Kajabi doesn't publish how many seats each plan includes, and your dashboard shows the number left when you add Backstage to an Offer.

Kajabi's own pricing advice for Backstage is refreshingly bold. It suggests pricing a Backstage Offer at around 5 times your current top monthly offer, so a $500 a month program becomes a $2,500 a month Backstage.5 At that level, a $49 seat is a small part of what each client pays. Premium access, premium standards and premium pricing go together, and that's a principle I teach too.
The standard free trial lasts 14 days, as Kajabi's trial information page explains.6 Through my partner link you get 30 days, which is plenty of time to set up a Backstage Offer and preview it as your client would.

A private client space only works when the relationship inside it feels personal. The framework I use for that is the HUMAN Method, from my Built to Be Human work.
Definition
The HUMAN Method
The HUMAN Method is a framework created by Ant Hodges, author of Simplify the Funnel®, as part of his Built to Be Human teaching. It stands for Hear, Understand, Meet, Advise and Nurture, the five things a client needs from the person guiding them.
Backstage gives each step a natural home. Here's how I'd match them up:
“It’s time to reject complexity as strategy. Embrace the power of doing less, but better.”
From Simplify the Funnel® by Ant Hodges
Where does AI help in Backstage, and where should you stay human?
My belief is that AI creates movement, and humans create momentum. Backstage follows the same split, with AI doing the admin and you doing the relationship.
Back office: let AI help
Front office: stay human
- Your welcome message and every reply
- Choosing the next 3 tasks for each client
- The live calls and the advice inside them
Who is Kajabi Backstage best for?
Backstage shines when people already trust you and want to work with you closely. That makes it a strong fit for experienced coaches, consultants and experts who sell a small number of premium places.
A great fit if you
- Run one-to-one coaching, mentoring or consulting
- Offer a strategy day or intensive with follow-through
- Want clients' tasks, files and messages in one place
Another route may suit you if you
- Run group programs or cohorts, where Courses or Communities fit better
- Want to sell to thousands of buyers at a low price
Kajabi says group programs and video inside messages aren't supported in Backstage, and clients can't see each other's content.3 For video, a live session does the job instead.
